Printing guest names

Personalised invitations, menus with guest names, place cards and addressed envelopes all have something in common: every piece is a little different. Here's how to set up your file so each name prints in the right place.

One Name Per Page

Supply a multi-page PDF with one name on each page. For example, 50 place cards means a 50 page PDF.

When you request your quote, please mention that your design has guest names, so I know to expect a multi-page file.

Names on One Side Only

If your names are on the front and the back is the same on every card, you can supply your file either way:

  • Two PDFs: one multi-page PDF with the names, and a single page PDF for the back
  • One PDF: make the first page the back design, followed by one page per name

Names on Both Sides

If both sides change for each guest, supply one multi-page PDF with the pages alternating front, back, front, back.

Before You Send

  • Double-check the spelling of every name, as your file is printed exactly as supplied
  • Make sure the total number of pages matches the number of pieces you need
  • Follow the general file setup in my print guidelines

Names With Special Finishes

Guest names can only be digitally printed. Foiling, embossing and letterpress each need a custom-made plate, so they can't change from card to card.

You can still combine them: keep the foil, embossing or letterpress for the parts of your design that are the same on every card, and print the names digitally. See my foiling, embossing and letterpress guidelines for how to set up these designs.

Addressing Envelopes

Envelope addresses work the same way, with one address per page. See my envelope printing guidelines for margins and setup.
